Team Dependencies Matrix

Identifying bottlenecks and dependencies, exposing the informal flows and structures

Understanding the real flow of information and how work actually gets done

Your team isn’t running as quickly and smoothly as you know it could, but why?

The chances are, things are happening behind the scenes that you can’t see. Back-channels of communication and over-reliance on certain people or teams often arise. Simply because people are trying to get their work done.

Despite good intentions, these create bottlenecks and miscommunication. Creating, in turn, delays and misalignment.

To address the problems, we must first uncover these hidden flows and bottlenecks.

To do this, we use a Dependency Matrix.

The fact is that the system that people work in and the interaction with people may account for 90 to 95 percent of performance.

- Dr W. Edwards Deming

Dependency Matrix methodology

The Team Dependencies Matrix gives a view into the informal organisational structure and flow of communication, helping to uncover how work actually happens regardless of official intentions and channels.

Offering a way to identify the connections dependencies between people and teams, the Dependency Matrix highlights any potential bottlenecks that may slow down the rate of workflow.

These bottlenecks can show up as individuals or teams. These bottlenecks represent opportunities for improving the flow of working, to increase team productivity, efficiency, and effectiveness.

Surveys

Everybody in the matrix completes a short survey, asking about their working relationship with everybody else in the matrix from a couple of different angles.

When completed, this gives four angles and data points for each relationship, building a well-rounded picture with relatively low overhead for the team.

This raw data is used to create a heatmap matrix and individual reports, to identify patterns to explore and analyse.

Conversations

Alone the matrix and individual reports provide powerful information. The first time a Dependency Matrix is created, we recommend taking them further and using them as starting points for conversations to uncover the underlying causes behind the behaviours.

These conversations help people really think about how their work flows, how they contribute to the team, and where things could be improved. They are vital for understanding the true nature of what is happening, as many outcomes could have multiple causes.

What a Dependency Matrix can do for you

A Dependency Matrix from Human-Centric Engineering can show you:

  • How cohesive each team is

  • Dependencies between teams

  • Dependencies between individuals

  • Potential bottlenecks within your team

  • Where your largest constraints are coming from

Key benefits

  • Clarity

Get the information you need to make data-driven decisions and priority calls for improving team dynamics

  • Metrics

Gives you the metrics and a personal benchmark for measuring progress with the team

  • Catalyst

The process raises awareness of the importance of flow and implementing intentional structures and processes

Engagement levels

We can give you the tools and let you get on with it, or dive deep and interview each participant to get the maximum insights … or somewhere in between.
